CFI Library is a student-created educational resource-sharing website for aspiring flight instructors. This policy applies to the public website at cfilibrary.com and the linked Google Apps Script Student Portal. The public website can be viewed without signing in; the Student Portal requires a Google account.
1. Overview
We use Google account information only to identify signed-in students, process their requests, and associate their Favorites, Study Progress, contributions, and reviews with the right account. Public written reviews are displayed as “Anonymous Student”, but the system keeps a private account-derived identifier to let the correct student edit or delete their own review.
2. What information we collect
- Google account email address: the Student Portal accesses the primary email address of the signed-in Google account to verify which account is using the service. The application does not request access to your Gmail messages or personal Drive files.
- Favorites and study progress: selected resources, ACS tasks, study status, and related save/update information are stored with an account-derived identifier in owner-restricted Google Sheets.
- Reviews: your rating (1–5 stars), optional written review, the resource reviewed, moderation state, and timestamps are saved in a restricted Google Sheet with an account-derived identifier.
- Contributions: when submitting material, we record your verified Google account email, resource link or uploaded photo link, resource title, selected ACS task/category, any submitted notes, and processing details in a private contribution log.
- Images: uploaded photos are stored in a library-managed Google Drive folder. Individual photo files are made viewable by anyone who has their links.
- Technical information: Google, Cloudflare, and associated hosting or infrastructure services may process ordinary technical data such as request logs, device/browser information, and IP addresses as part of operating their services.
3. How we use information
We use account information to verify sign-in and route the student's signed requests to the publishing service; keep Favorites and ACS progress private to the correct account; allow students to submit resources and manage their own reviews; calculate public average ratings; prevent duplicate or invalid submissions; respond to reports; and maintain the service. The student-facing gateway also uses an external-service connection to communicate with the library's backend. We do not sell Google account information or use it for advertising.
4. What other people can see
- Public: resource titles and URLs, resource-linked images, average star ratings, rating counts, and published written reviews. Written reviews are shown with the label “Anonymous Student”; they do not display the reviewer’s Google email or private account identifier.
- Private to the account: Favorites, study-progress settings, and editing controls for the user's own review.
- Restricted to the library operator: contribution records, private account-derived identifiers, and internal review-storage records in owner-controlled Google services.
A written review can still reveal information about its author if the author chooses to include identifying details. Do not put names, email addresses, phone numbers, or other private details in public reviews or shared resources. Shared photo links may be forwarded.
5. Your choices and controls
You can remove Favorites, change or reset study-progress statuses, and edit or delete your own reviews in the Student Portal. You can also request correction or removal of submitted resources and request help with account-linked information by using the Report an Issue / contact form. Please state that it is a privacy or data request. We may need to confirm that you control the affected account before making account-specific changes.
6. Data retention and security
The library keeps submitted records and account-linked information for operational purposes. There is not currently a fixed automatic deletion schedule. You may contact the operator to request review or deletion of account-linked data; some records may need to be retained to resolve disputes, handle improper contributions, or maintain the integrity of the library. Access to private storage is restricted to the operator; no internet-connected system can guarantee absolute security.
7. Third-party services
The public homepage, Privacy Policy, and Terms are delivered through Cloudflare Pages. The Student Portal is hosted with Google Apps Script, uses Google account authorization, and stores operational information in operator-controlled Google Sheets, Drive, and Docs. When you open a student-submitted external resource, that third-party website may have its own privacy practices. The public homepage itself does not add advertising trackers or analytics scripts.
8. Contact and updates
For questions about how information is used, to report content, or to ask about data access or deletion, use the CFI Library contact / issue form. The library operator may update this policy when functionality or data practices change; the updated date will appear on this page.
